General Rules
(written Summer, 2004)

These General Rules apply to all families that are members of G.R.A.C.E.

·        Rather than using home and personal e-mail addresses, all applications, forms, informational paperwork, etc. for G.R.A.C.E. activities and events must be completed with the G.R.A.C.E. mailing address (G.R.A.C.E., P.O. Box 1263, Rome GA  30162-1263) and the G.R.A.C.E. e-mail address (hsinfo@gracehs.org).

·        The G.R.A.C.E. Coordinator checks the G.R.A.C.E. post office box a minimum of one day per week.  The G.R.A.C.E. Associate Coordinator has the extra post office box key and will back-up the G.R.A.C.E. Coordinator.

·        Information, etc. received via the G.R.A.C.E. P.O. Box and e-mail address, for G.R.A.C.E. activities and events, is copied for the G.R.A.C.E. files and then forwarded immediately to the coordinator of the specific activity or event.  After the activity coordinator completes any necessary paperwork, the paperwork is copied and forwarded immediately to the G.R.A.C.E. Coordinator for placement in G.R.A.C.E. files.

·        Parents choosing to teach and home school their children should not miss out on the home schooling activities and events of their student(s).  Parents, please adhere to the G.R.A.C.E. by-laws while your student(s) participate in these G.R.A.C.E. activities and events.  Please Note:  Minor students that drive are not excluded from a home schooling parent’s immediate supervision.

·        ****Families that are members of G.R.A.C.E. are welcome to attend any G.R.A.C.E. field trip (preschool-12) unless one or more of the following applies:

1.      The representative from the field trip destination requests a maximum number of G.R.A.C.E. members on the visit.  (The field trip coordinator will maintain sign-up and stand-by lists.)

2.      The representative from the field trip destination requests a minimum age or grade of G.R.A.C.E. members on the visit.

·        ****Public-schooled students, of families that are members of G.R.A.C.E. and on a school break, are welcome to attend any G.R.A.C.E. field trip (preschool-12) unless one or more of the following applies:

Addendum (written and added Summer, 2005)

·        Through a G.R.A.C.E. budget, activities and events are allowed an assigned allotment for reimbursement of incurred expenses.  With the exception of large dues/fees paid to Georgia State Bar (Mock Trial Team), National Geographic Society (National Geographic Geography Bee), Shorter College (“Sharing the Arts” Night and G.R.A.C.E. Graduation and Honors Ceremony) and/or large purchase amounts paid to School Annual Publishing (Yearbook), activity/event coordinators must present receipts to the G.R.A.C.E. Executive Committee/Board before the treasurer can cut a check for reimbursement.

·        If a G.R.A.C.E. activity/event uses Grace Bible Church, 614 Old Dalton Road, N.E., Rome GA, G.R.A.C.E. will cut a check for the usage fees, but that fee amount is deducted from that activity/event’s allotted amount in the G.R.A.C.E. budget.

·        If G.R.A.C.E. activity/event expenses rise above the allowed allotted amount in the G.R.A.C.E. budget, the G.R.A.C.E. families that participate in that activity/event will be responsible for that expense overage.
